Purchase Order Management

We secure client and hotel operator approvals, prepare purchase orders, and process pro forma invoices with payment certificates for deposits. We report order status, prepare final payment certificates, review and manage vendor invoices, and compile the asset register.

Phase 4

Vendor Management & Quality Assurance

We pre-qualify vendors based on capability and capacity, conduct quality control visits to factories, assist with defect rectification, and report vendor purchase orders and performance status.

Phase 1

Procurement Budget Management

We consolidate and advise on the client’s brand standards and operational requirements, prepare the procurement budget, and analyze it against product needs. We also set the tendering schedule, prepare the cost and work plans, monitor the budget and cash flow, and coordinate FF&E and OS&E with the client, hotel operator, and consultants.

Phase 2

Tender Management

We prepare and issue tender documents, review returned tenders with the client and hotel operator, and obtain FF&E and OS&E samples for approval. We negotiate for the best pricing, suggest quality alternatives where needed, submit cost and recommendation reports, and retender items that are over budget.

Phase 5

Logistics Management

We coordinate shipping schedules, logistics issues, and receipt of goods, expedite deliveries and assist with freight claims, and organize subcontractor installations and the operator’s inventory storage.
